About the role
An exceptional opportunity for an experienced project manager to work in an international business environment and manage several high-profile international education related events. You will have been working in a fast-paced environment managing multiple projects and customers. The role has essentially two different areas:
WORKSHOPS:
You will oversee and manage all aspects of some of our organization's international workshops (and possibly scholarship forums) and conferences.
FAIRS:
You will work on some of the 100+ international student recruitment fairs we run across the world. These are often in series over a period of up to 3 weeks and sometimes across multiple countries. Many are also held in series with the above-mentioned workshops and scholarship summits.
Key Responsibilities:
- Strategic Planning: Assist in strategic planning of the event to meet business goals and budgets which would involve but not limited to choosing venues, negotiating with suppliers, transport companies, hotel, and accommodation providers.
- Event Management: Plan, coordinate, and execute large-scale international events, conferences, and summits, ensuring seamless logistics, budget adherence, and high-quality delivery.
- Stakeholder Management: Collaborate with internal teams, external partners, vendors, and sponsors to establish strong relationships and ensure successful collaboration throughout the event lifecycle.
- Budgeting and Financial Oversight: Manage event budgets, negotiate contracts, monitor expenses, and optimize financial resources to achieve cost-effectiveness and maximize return on investment.
- Risk Management: Identify potential risks and develop contingency plans to mitigate them, including health and safety considerations, crisis management, and security protocols.
- Event Marketing and Promotion: Collaborate with the marketing team to develop and implement effective event marketing strategies, including digital and traditional channels, to drive attendance and enhance brand awareness.
- Post-Event Evaluation: Conduct thorough evaluations of events, gathering feedback from attendees, analysing metrics, and identifying areas for improvement. Use insights to refine future event strategies.
- Industry Knowledge: Stay up to date with industry trends, emerging technologies, and best practices in event management, bringing innovative ideas and fresh perspectives to enhance event experiences.
- Work ethic: Ability to work under pressure, manage multiple projects simultaneously, and meet strict deadlines.
Operations and logistics
- Liaising and managing relationships with venues, stand contractors and local suppliers.
- Helping to compile the exhibitor manuals and assist clients attending our events.
- Keeping content up to date on the BMI Exhibitor Information System.
- Liaising and managing our relationships with international clients, exhibitors, sponsors, and partners.
- Attending international fairs to manage build up and successful operations on the day.
- Working across general logistics to ensure the fairs run smoothly and successfully.
- Assisting all clients with any participation issues and problem solving
- Sourcing, negotiation, and contractual arrangements with international venues
- Receiving invoices from suppliers and arrangement with finance team for payment
- Managing an event budget and updating actual costs
IMPORTANT INFORMATION / REQUIREMENTS:
- Hybrid working with minimum of 3 days based in THE Head office in Holborn, London WC1X 8WB.
- Strong written and spoken English.
- Robust skills in Microsoft Office especially Word, Excel or Google Sheets
- Minimum 4 years’ experience in fast paced event organisation
- Organised, committed, responsible, detail-oriented, and self-disciplined.
- Ability to travel overseas when required – expected to be 5-6 weeks annually.
- International language and experience in the education sector is an advantage.
